If I have been assigned to a committee, what do I need to do?Your work on and with the committee is important. If you have been assigned to a Floor Committee, you will be studying the area of ministry assigned to you in order to present to the convention a synopsis of your findings and any resolutions your committee feels are necessary for discussion and adoption. You can find detailed information HERE. If you are assigned to a Convention Committee, you will be working to carry out the smooth operation of the convention.
Are your deadlines really to be considered DEADLINES?Absolutely. There are a vast number of reasons we must adhere to the deadlines set. Those who miss the deadlines create a ripple effect that causes logistical problems for many people working behind the scenes. The common deadline for convention registration, hotel registration, and submission of all reports and materials for inclusion in the convention binders is Friday, May 9, 2008.
If I am submitting a report, what do I need to do?a. For reports, please follow and observe the formatting instructions you find HERE. b. Observe the deadline of May 9th. Much of our printing this year is being outsourced. If your submission is not received by the deadline, you will be responsible for all costs, printing, collating, punching and distribution of your report. c. Pre-printed reports/brochures/loose materials: If your organization would like to submit a brief pre-printed report, update, or brochure that is not a part of the convention proper, but can be inserted into a three ring binder as a supplemental report, please send 275 pre-punched copies to:

Our Board/Committee/Group would like to have a small group meeting sometime during the convention. Can we do so?Yes, however you should clear your meeting through the District Secretary. Unless you plan a small informal meeting over dinner, for example, meeting space is limited and must be set up with the resort through the District Secretary. Contact him HERE.
Can I set up a display for my organization, board, or commission?Displays are limited to designated areas only. We have a limited amount of display space available on a first come, first served basis. Display tables are limited to 6 feet. You may request table space by clicking the appropriate box on the Registration Form.
Can I be excused from attending the convention?All members of the district (active pastors and teachers and a lay delegate from each congregation) are required to attend the convention. Those who cannot attend for a valid reason may request to be excused through the Registration and Excuse Committee. Excuses must be written and submitted on the Registration Form. A reminder: Family vacations, reunions, etc. are not generally considered as valid excuses since the convention dates are publicized a year and a half in advance.
Convention DecorumDuring the general sessions, casual dress is the order of the day. Neck ties are not necessary. Mid June daytime temperatures in Arizona can be very warm for those of us who live here and very hot for those who don't. Cell phones are a blessing and a bane. We request that all cell phones be turned off or set to "silent" mode during the general session. Questions with reference to convention operations should be addressed to a member of the District Secretary's Committee and not the Resort personnel. Questions pertaining to hotel accommodations should be addressed to the hotel front desk.
Will there be some kind of fellowship gathering for the delegates?Yes. We will be holding a sponsored fellowship gathering with hors d'oeuvres and a cash bar on Tuesday evening of the convention.
Can I bring my wife or my family?Yes. The resort has a variety of amenities available to its guests (tennis, swimming, fitness room, complementary bicycles, golf, etc) The resort is one mile from the Superstition Springs Mall and a variety of other stores and shops. Hiking in the Superstition Mountains is 10 miles away and a trip down the Apache Trail to Canyon Lake is about 25 miles from the resort.
Are meals provided?Meals are not provided. Each congregation is responsible for providing its delegates with a meal allowance. Numerous restaurants and fast food establishments are nearby, many within walking distance of the resort. A breakfast and lunch buffet will be set up by the resort in the east conference center to accommodate our group. We encourage you to eat your noon meal at the resort due to the relatively short lunch hour.
Are you providing transportation from the airport?No. Sky Harbor Airport has completed a central car rental facility which houses all car rental agencies. Shuttles will take you from the airport to the rental agency of your choice at the facility. Car rental subsidy is not eligible for reimbursement. Therefore, we recommend that you book a rental with other delegates to help keep your costs low. For those who do not wish to rent a car, Super Shuttle is available outside the baggage claim area. Be mindful, however, that if you are with other passengers who are not staying at the resort, your travel time may be lengthened if you are not the only drop off point.
What is the driving time from the airport to the resort or the church?Driving time from the airport to both the resort and the church will be somewhere in the neighborhood of 40-50 minutes depending on traffic.
Will transportation be available from the resort to King of Kings Lutheran Church for the opening service on Monday morning?If you are renting a car on Monday morning, you may drive directly to the church from the airport. If you are being dropped off at the resort, we will arrange to have some drivers available to provide you with transportation to the church. The drivers will be instructed to pick up passengers at the hotel lobby entrance. The last car will leave for the church at 10:30 a.m. Directions to the church are located HERE.
Am I eligible for travel reimbursement?Congregations which fall under the travel equalization policy of the district are eligible for travel subsidy to the convention. Pastor and teacher emeriti are also eligible for assistance. Click HERE for policy details. Reimbursement forms will be provided at the convention and subsidy checks will be distributed by the Travel Equalization Committee.
